We are about to sell holidays to a international market where our companies main language is not the same as the market we are selling to.
I want to automate the process of payments once a holiday is confirmed.
The customer will book the holiday through email and telephone.
Once the customer accepts the quote the holiday needs to be created on the online system you must create. Information stored here will be Customer Details, Party Details and ages, address. Re the Holiday (which could include more than one location) Site Code, Location, Arrive, Depart, Special Requests etc but all can be text fields for the start of the project.
Once the holiday goes on the system there will be a minimum payment required, shown as a deposit. The full and outstanding cost needs to be recordable also.
Customers can reduce this balance by making an online payment.
Customers must clear the balance before a certain date.
Reports showing outstanding balances, Awaiting Deposits Need to be viewable.
The major part of the project is enabling custoemrs to pay their ballance online and view how much is still to pay etc. Any knowledge with payment gateways and merchant accounts would be an advantage.

About the Company & Site.
The company sell holidays as an agent for large tour operators and providers. These holidays do not need to be paid up front straight away and in many cases are not.
Customers are from many different countries speaking many different languages. Paper works for the holidays are generated by my company; forms include Holiday confirmations, Payment Requests and other holiday related paper work.
Due to the different forms to be issued for the different tour operators / providers I think it would be better to keep this on a desktop database. The desktop database to include all the holiday details, party members, durations, times etc. Notes also need to be kept re communication. This database is not part of this project but the online element which I talk about next is.

I need a website that links to a payment processor (my website does not need to be secure, they will get transferred to a payment processor provide to enter sensitive information, (not really a concern of the programmer, any thoughts or assistance on integration e.g. requirements or even providers would be helpful but not essential), the programmer needs to provide their requirements for any assistance they require for the integration of the payment processing module, a note to remember is that the payment should not show as confirmed until the payment has been authorised by the payment gateway!
Once a holiday is created in the desktop database it will produce a unique holiday number. Although this seems a little labour intensive, to get up and running quickly the website will remain relatively simple, only handling payments and payment history.

The unique holiday number (Together with email address) will enable the customer to login the website and do the following:
• Make Payments
• View Payment History
• View outstanding balance
• Download documents created relating to holiday
• Notify of change of Address / Telephone number
• Change Email address (Thus changing the login)
Once all the details are recorded in the database, we then set up a payment section on the website for customers wishing to pay in instalments, the details for the website will be:
Name, Address, Telephone, Email, Holiday Reference Number, Departure Date, Return Date, Internet Account Reference number (see comments bellow), Country, Language.

To make everything back checkable a unique account number for the person’s holiday will be created from the website to be put in the database. An online account needs to be created for each customer even if they have no balance to pay; this is so they can download their holiday documents. Getting the holiday documents onto the site I would appreciate so ideas for seems very labour intensive to upload them but at the start this will be ok. Bear this in mind.
Variables include:
Final payment date, Deposit, Final Deposit Payment Date. (The deposit forms part of the total holiday price).
Each payment by a customer has a field for the Database reference number, the AutoNum created as a payment reference on the desktop database. It is important for the desktop database to have knowledge of the payment as mail merged document reminders will be issued for late payments.

However the website will not do anything with this number its more to create a “Paper Trail”. It will help in reporting as well.

Show all payments Holiday Reference Number, Database Ref, Amount, Currency, Name, Date, Time

Total Holidays on file
Being able to export this information.
Site needs to be capable of handling a variety of languages. Messages and field titles could need to be displayed in more than one language.
The back end needs to be able to create holiday accounts (for the purpose of payments and doc downloads), it would be easy to export from the desktop database the names, refs, dates etc for new online accounts; this is something to think about.
Login for customers have been explained above but the admin needs access to the above mentioned paragraph.
